The Digital Handshake
Formality Matters
Start your email with a respectful, professional greeting. Never dive directly into your message without addressing the recipient properly.
Rule of Thumb:
Always address the person by their proper title (Dr., Mr., Ms., Principal) and verify spelling. If you do not know the recipient’s name, use their role.
Recommended Greetings:
Dear Dr. Ramirez, (Academic)
Dear Ms. Sterling, (Professional)
Dear Admissions Committee, (General Group)
Avoid (Too Casual / Improper):

Message Architecture
PART 01
The Purpose
State the exact reason for your email in the first two sentences. Do not bury the main point in small talk or excessive background.

The Details
Provide concise background information. Use 2–3 brief sentences (or list bullet points) to deliver dates, classes, or roles.

PART 03
The Action
Close with a clear Call to Action (CTA). Tell the recipient exactly what you need from them or what step you will take next.
