Transposition & Bank Errors
Apex Cafe Audit File (As of September 30, 2026)
Apex Cafe's checkbook indicates a balance of $7,565.00, while the First City Bank statement shows an ending balance of $7,210.00. The audit team uncovered the following items:
A. Deposit in transit dated Sept 30: $1,150.00
B. Outstanding Check #740 ($630) & #744 ($480)
C. Monthly bank service fee: $40.00
D. Interest credit on account: $25.00
E. Book Error: Check #738 for kitchen equipment maintenance was written for $640.00 and correctly paid by the bank for $640.00. However, the cafe bookkeeper entered it in the journal as $460.00.
F. Bank Error: The bank incorrectly charged Apex Cafe's account for a $120.00 check drawn by another customer, "Apex Hardware".
Bank deducted $120.00 belonging to another company.
Does the company's bookkeeper know this?
Action: The bank must [Add / Deduct] this $120 back.
Adjustment side: Adjust the [Bank / Book] side.

PRO-TIP The "Rule of 9s" Transposition Trick:
Whenever two digits are transposed (e.g., $640 written as $460), the error difference ($180) is always evenly divisible by 9 (\(180 \div 9 = 20\)). If an out-of-balance difference divides by 9, what kind of mistake should you look for first?

Common Student Traps & How to Intervene
Trap 1: Adjusting the wrong side for bank errors. Remind students: You only record entries on the business books for things the business needs to correct. A bank error belongs strictly to the bank side of the reconciliation.
Trap 2: Adding an understated check instead of subtracting. Walk through cash flow: "Checks are cash outflows. If you recorded paying $200 when you really paid $380, you have less cash in reality. Less cash means subtract!"

1
Cross-Check Records
Match check numbers and deposits between both documents. Mark cleared items with a checkmark.
2
Ask: "Who Doesn't Know?"
If the bank hasn't seen it, adjust the Bank side. If the business hasn't logged it, adjust the Book side.
3
Reconcile to Zero Discrepancy
Calculate Adjusted Bank and Adjusted Books. If they don't match, check for transpositions (Rule of 9s!).
